July 24:
The beginning of the internship was just getting acquainted with the different types of jobs that go on in the athletic office. I started with making master calendars of the different home and away games for each team and then converted those on to one large master calendar. The calendar contained the different start times of each game, where it was located, and the opponent. July 25: The next task during this week was stuffing, addressing, and sealing many envelopes for a variety of different reasons. Most were thanking the sponsors of the annual TU golf outing. We then transitioned to sending out Hall of Fame innovations for the event in September. July 31: The envelope task took two days to complete because there were so many envelopes to stuff and seal. There were over 200 invitations sent out via traditional mail. Those that had opted for an email from the prior years only took the last half of the second day. The only challenging part of the email recipients was going through the spreadsheets and matching the email to the name. August 1: To start this week, I had to go through each of the athletic lockers and the concession stand to go through apparel inventory. I had to take a tally of each different clothing item, ranging from t-shirts to sweatpants. After recording all of that data, I then had to create an excel worksheet with all of the items from all of the storage lockers and have a total amount. In addition to recording the different amounts of clothes, I also had to find out the monetary value of each item and then add that all together for a total amount. August 2: I started writing out the game scripts for the football home games. The scripts have formatted template that is followed every year and is only altered for the different games. While there was a template, it was still very time consuming. There are six home football games and practically each game was a different theme and have different sponsors. August 7: The football scripts carried over into today. In addition to changing the obvious in the templates, I also had to find a variety of different games and promotion ideas to get the crowd involved before the game and during halftime. When there is a specific event going on, such as homecoming, it is easier to find more promotions to get people to the game and make them stay. August 8: I started writing the scripts for the home volleyball games. The scripts are somewhat similar to the football scripts but the game is structured differently so it is not totally the same. These scripts are made for the announcers to read off during the welcome, starting lineups, in between sets, and to conclude the match. August 9: The volleyball scripts are also carried over into the next day. Just like football, there needed to be promotions and games for the audience to get involved while the game is not going on. There are about 10 different games for the crowd to get involved with in between set. The announcers follow the script throughout the whole game. August 10: Today I sent out a multitude of emails and invitations to TU alumni for the upcoming hall of fame dinner. The hall of fame dinner is an annual event that honors those being inducted into the Tiffin University hall of fame. The majority of those invited are previous inductees and coaches but faculty and staff make up a large sum of the population that attends. August 11: Today I assisted the volleyball coach in setting up the locker room and issuing gear to all of the players. Check in is on the 13th of August so there was a lot to be done. Each player got their own locker and plenty of gear to last them for the season. September 13: Today I updated the athletic office master schedule. There was a mix up in one of the departments so some of the game times were not correct. The same format was kept from the original schedule but it was just tedious to go through each different sport and figure out which games were incorrect. September 15: Whenever a new week begins, we are in charge of creating the display board for that week’s home games. The display board is painted with chalkboard paint so it can be reused week after week and it catches everyone’s attention. The display board is placed in the middle of the Gilmor center that way all the students and faculty members walking through campus can see it and know what’s going on that week. September 19: The hall of fame dinner is set to take off in about ten days so today was based around getting an early jump on the event. I had to check the list of attendees and update the ones that had RSVP’d after the last update. Along with updating the list, I also had to send out follow up emails to those who had attended the event last year but had yet to RSVP this year. September 20: Today I went over the football script for the upcoming game to make sure the details were all set and correct. The main part of this job is reading over the script to make sure that the game sponsors are correct and the script is easy for the announcer to read and to follow. September 22: The day before a home football game can be a little crazy. We have to make sideline passes for workers and teams each week. The process is pretty easy; I go through the football pictures and find one that features just a TU player. The passes are then printed out, laminated, cut and tied. September 26: The all of fame dinner is taking place this Friday night so the athletic office is in overdrive. Today was spent organizing the table charts and name plates for those who are attending. The table chart process was easy, we placed those who were speaking or accepting an award closer to the front of the stage so there was less movement time. Creating the name plates for seating was the same process as making game day passes for the football games. However, those who are getting honored are the only ones who receive a laminated name plate. September 27: This weekend is homecoming weekend so the athletic office has a lot of different things going on. Today we had to unload the back locker that contains all of the alcohol that is used in the presidential tent during the football games. There were other miscellaneous items that we had to grab that would go into the giveaway tent but we mainly dealt with the presidential tent items. We loaded everything into the back of one of the athletic office’s vans September 29: The day before a home football game can be a little crazy. October 3: October 4: October 6: October 10: October 11: October 17: October 18: October 20: October 24: October 25: In preparation for the upcoming playoff games for the soccer teams, we had to make all of the passes for the games. The passes were for the teams, media, referees, and trainers. The passes were printed off in sets of four, then laminated, cut out, hole punched, and then tied with a string. It was a very tedious process. October 27: In preparation for the upcoming playoff games for the soccer teams, we had to make all of the passes for the games. It was a very tedious process. October 31: The GLIAC soccer playoff game was hosted at Tiffin today. We had to set up the gate entrance where we took tickets and money from those who were coming to watch the game. It was so cold outside we couldn’t stay warm enough while we were standing and waiting for people to show up. November 1: November 3: The day before a home football game can be a little crazy. The passes are then printed out, laminated, cut and tied. November 7: November 8: We started creating the master game day scripts for both women and mens’ basketball teams. The scripts are similar to those for the football games, however, the basketball games are not as frequently sponsored as the football games. In addition to drafting those scripts, I had to find the half time contests for the fans to participate in. I found many of them from other universities and their athletic websites, particularly DI schools that have a newsletter for each game that week. November 10: TU men’s basketball home opener was today. Just like any before game day prep, we created game day crew passes for those who help alongside the team. When it came time for the game, I was in charge of just being around and ready to do whatever was needed. During the halftime contest, I had to find an individual from the crowd who wanted to compete in “around the world,” which is a three point shooting game. November 17: November 18: The TU women’s basketball team played on this rainy Saturday. Game time was supposed to be like the men’s home opener was. However, because the rain was so heavy, the roof in the gym started to leak just as the game was about to start. So it became my job to run out and wipe the floor clean every time the ball was on the other side of the court or during timeouts. Luckily for me, the roof stopped leaking right after halftime. November 20: November 21: I reedited the basketball scripts. We recently converted the GLIAC pledge and information/rules onto a media kit file that is played through speakers. So I had to alter the format of each script and remove the pledge so it was not redundant. November 28: Today we organized the back athletic storage lockers. There was so much junk so we had to throw a bunch of it away. With the salvaged items, we reorganized and repacked new bins with labels so everything had a place and was in order. It was a lot of work but with the four of us, we were able to get it done pretty quickly. November 29: There were quite a few things that needed to be done today. The first thing to be completed was to create a new format for the monitor display that lists the athletic events during that week. I created that with excel. The next was to create almost the same thing but for the schedule of the heminger center for that week. There is the track/courts area and there is also the turf room. Both are used heavily during the week due to the teams that are in season. I also created that with excel. I then had to create a flyer to promote the giveaways for next week’s double header against Davenport.
